  2. Community associations

Community association software, all in one place.

One member list behind your website, renewals, hall bookings, volunteers, newsletter and board papers. Built in Calgary for associations run by volunteers.

Most associations run on six tools that don't talk to each other.

A website from one vendor. A Google Form for memberships. E-transfers matched by hand against a spreadsheet. A separate newsletter tool. A shared calendar for the hall, and a group chat for everything else. Each one works on its own. Together, they mean nobody is quite sure who's a paid-up member.

PartOf replaces that stack with one system. The member who joins on your website is the same record that gets the renewal reminder, books the hall, signs up for the pancake breakfast shift and receives the newsletter. One list, kept current by the members themselves.

What a community association gets.

Everything below runs today at a Calgary community association with more than 200 member households. We set it up for you and move your members over.

Household memberships

Household, individual, senior and student tiers. Members join and pay on your site, renewal reminders send themselves, and lapsed memberships expire on schedule instead of lingering in a spreadsheet.

A live member card

Every member gets a card on their phone with a QR code that refreshes every two minutes, so a screenshot from last year won't get in. Scan it at the AGM door or the skating party and the check-in is logged.

Hall and room bookings

Availability in half-hour slots, rates, deposits, invoices, an e-signed rental agreement and waiver, and a door code emailed to the renter on the morning of the booking.

Volunteers and hours

Sign-ups for every shift, an hours ledger that adds up on its own, a "my volunteering" page for each person, and a free membership once someone reaches the threshold your board sets.

Events and RSVPs

One RSVP system for every event, with waivers, paid tickets where you need them, check-in, and a newsletter opt-in box on every form (unticked, the way consent should work).

Newsletter

Double opt-in sign-ups and campaigns sent from the same member list, so you stop exporting CSVs into a second tool and guessing who unsubscribed.

Donations and sponsors

A donate page, a supporters wall, QR signs for the playground fund, and a sponsor apply-and-pay flow for local businesses.

The board

Minutes drafted from the meeting recording, a 7-day review before they publish, a decisions register, and action items that follow people until they're done. More on board tools

Your own website

Your association's site on your own domain, so members join where they already look for you, not on someone else's portal.

Built in Calgary, for how Alberta associations actually work.

Casino years. If your association holds an AGLC casino licence, PartOf tracks the licence cycle, the volunteer roster for your casino shifts, and what you've spent proceeds on. Our AGLC casino licence guide covers the rules.

Grants. The City of Calgary's Inspiring Neighbourhoods Grant and Alberta's Community Initiatives Program can both fund parts of a website and software project. We help with the budget and quotes. See how the grants work.

AGM season. Members-only AGM RSVPs, a quick "am I a member?" check, and card scanning at the door, so the people voting are the people entitled to. Read our AGM guide for Alberta societies.

A person you can call. PartOf is made by OxOne Consulting Inc. in Calgary. The person who built it sits on a Calgary community association board.

Yours, not rented.

Your members' details are the most valuable thing your association keeps. So PartOf is built so you never have to ask for them back.

Your own database

Each community's data lives in its own database. No other association's members are ever in it.

Your own Stripe account

Membership fees, rentals and donations land in your Stripe account and then your bank. PartOf never holds your money and takes 0%.

Your way out

Export everything at any time, expiry dates included. If we ever close, our agreement gives you the source code.

Two plans for associations.

Flat annual prices in Canadian dollars, plus GST. Card processing is Stripe's standard rate, paid to Stripe.

Community

$990a year

Associations without a facility.

Website, memberships, live cards, events, newsletter, donations.

Choose Community

Setup, including moving your members over: $1,500 once.

Payroll for paid staff, with CRA tax tables, cheques and T4s: $1,200 a year, if you need it.

Questions boards ask us.

We use Google Forms, e-transfers and a spreadsheet. Is that a problem?

Not a problem, it's the usual starting point. We import your spreadsheet, households and expiry dates included, and replace the form and the e-transfer matching with a join page that takes card payments into your own Stripe account. Cash and cheques can still be recorded by hand.

Can we move from Communal, Wild Apricot or another membership app?

Yes. We bring over members, households and expiry dates. If your old system's export is missing something, such as renewal dates, we agree a fair rule with you and tell every affected member, instead of guessing quietly. Setup and migration are $1,500 once.

Do members need to download an app?

No. Members join and renew on your website, and their live card opens in the phone's browser. Apple and Google Wallet passes are on our roadmap but not available yet.

Does PartOf take a cut of our membership fees or hall rentals?

No. Payments go into your own Stripe account and PartOf takes 0%. Stripe charges its standard processing fee, and you pay that to Stripe directly.

Can a grant pay for it?

Often, in part. The City of Calgary's Inspiring Neighbourhoods Grant has a Technology stream that covers website upgrades and first-year subscription fees, and Alberta's Community Initiatives Program lists licensing fees and website development as eligible costs. Both need matching funds. Our grant guide walks through it.

Is PartOf only for Calgary?

No. It works for any community association, residents' association or community league in Canada. Some features are Alberta-specific, like AGLC casino licence tracking, and we know the Calgary grant programs best.

What are you part of?

Tell us your community's name and we'll set up a 20-minute call. We do the setup and move your members over.
